2. What this policy covers
This policy applies to personal data we collect through our website www.riseaistudios.com, when you contact us, and when we provide services to you. Our website may link to third-party websites, which have their own privacy policies that we are not responsible for.
3. The personal data we collect
- Identity and contact data: name, business name, job title, email address and phone number.
- Enquiry and communications data: the content of messages you send us via our contact form, by email or otherwise.
- Client and project data: information you give us when we work together, including project materials, correspondence and billing details.
- Technical and usage data: IP address, browser and device information, and how you use our website, collected through our privacy-friendly, cookieless analytics tool.
- AI voice concierge data: written transcripts of your conversations with our AI voice concierge, together with related details such as the date, time and length of the session. We do not keep an audio recording.
- Marketing data: your preferences for receiving marketing from us.
We do not intentionally collect "special category" data (such as health, or racial or ethnic origin). Please do not send us sensitive personal data unless we specifically ask for it.
4. How we collect your data
- Directly from you — when you complete a form, email us, or speak to our concierge, or during a project.
- Automatically — through our cookieless analytics when you use our website.
- From third parties — such as social media platforms and publicly available sources.
5. How and why we use your data, and our lawful basis
Under UK data protection law we must have a "lawful basis" for using your personal data. We use your data as follows:
- To respond to your enquiries and provide quotes — legitimate interests and/or taking steps at your request before entering a contract.
- To provide our services and manage our working relationship — performance of a contract.
- To take payment and keep proper accounting records — contract and legal obligation.
- To send you marketing where permitted — consent or legitimate interests.
- To operate, secure and improve our website — legitimate interests.
- To comply with our legal and regulatory obligations — legal obligation.

6. Cookies and analytics
Our website uses only strictly necessary cookies required for the site to work, together with a privacy-friendly, cookieless analytics tool (Cloudflare Web Analytics) that does not set cookies, does not track you across other websites, and does not collect personal identifiers. Because we do not use non-essential or advertising cookies, we do not display a cookie consent banner. We handle cookies in line with the Privacy and Electronic Communications Regulations (PECR) as updated by the Data (Use and Access) Act 2025.
7. Our AI voice concierge
Our website offers an AI voice concierge — an automated assistant you can speak with to ask questions and make enquiries. It is an artificial intelligence system, not a human, and we will make this clear to you when you use it. When you use the concierge, please be aware of the following.
- Your conversations are transcribed. We create and keep a written transcript of your conversations with the concierge, together with related details (such as the date, time and length of the session). We do not keep an audio recording. We will tell you at the start that it is an AI assistant and that the conversation is transcribed.
- It is powered by a third party. The concierge is provided using a specialist third-party voice and AI platform, which processes your conversation on our behalf so the assistant can understand and respond to you. This may involve transferring data outside the UK (see "International transfers").
- Why we use it, and our lawful basis. We use the concierge and its transcripts to respond to you, answer enquiries, keep a record of what was discussed, and train, monitor and improve the quality, accuracy and safety of the service. Our lawful basis is our legitimate interests in operating and improving the concierge and responding to you and, where relevant, taking steps at your request before entering a contract. Where we are required to, we will ask for your consent.
- Please do not share sensitive information. Please do not tell the concierge any health information, financial account details, passwords or other confidential information. It is an automated tool, its responses may not always be accurate, and it does not replace professional advice.
- Retention and your choices. We keep concierge transcripts for training. You can ask us for a copy of your conversation, or ask us to delete it — see "Your rights".
8. Who we share your data with
We share personal data only where necessary, with:
- Service providers who host our website and provide IT support.
- The specialist third-party voice and AI platform that powers our AI voice concierge.
- Our privacy-friendly analytics provider.
- Our email provider.
- Payment and invoicing providers.
- Our professional advisers, such as our accountant, bookkeeper and, where needed, legal advisers.
- Government bodies, regulators and law enforcement, where we are legally required to do so.
We do not sell your personal data.
9. International transfers
Some of our providers are based outside the UK (for example in the United States). Where we transfer personal data outside the UK, we make sure appropriate safeguards are in place — such as UK-approved standard contractual clauses or the UK International Data Transfer Agreement, or transfers to countries the UK regards as providing adequate protection.
10. How long we keep your data
We keep personal data only for as long as we need it:
- Enquiries that do not become clients.
- Client records — for the length of our engagement and then 6 years to meet legal, accounting and tax requirements.
- AI voice concierge transcripts.
- Marketing data — until you unsubscribe.
11. How we keep your data secure
We use appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
12. Your rights
Under UK data protection law you have the right to: be informed about how we use your data; access your data; have inaccurate data corrected; have your data erased; restrict or object to our processing; data portability; and rights relating to automated decision-making. We will acknowledge and deal with your complaint in line with our obligations under the Data (Use and Access) Act 2025. 14. Marketing
We will only send you marketing where you have agreed to receive it or where the law otherwise allows. You can opt out at any time using the unsubscribe link in our emails or by contacting us.
15. Children
Our website and services are aimed at businesses and are not directed at children under 18. We do not knowingly collect personal data relating to children.
